MSF - Holland Supply Administrator Job in Lokichogio, Kenya

 The offices of MSF - Holland in Lokichogio, Kenya would like to invite applications from individuals wishing to work in the following position:

Position: Supply Administrator
 
Location: Lokichogio, Kenya
 
Start: May / June 2012

Overall Objectives:

Maintain LogisticX 7 program including creating the appropriate documents for use by the other supply team members so as to receive and track goods and orders, creating all packing lists, waybills and any other documentation related to supply to the field and updating a monthly excel document for order overviews for all projects to Loki and Loki to local/NSC/Amsterdam.

Specific Responsibilities:
  • To be responsible for all data entering into LogisticX 7 - create appropriate documents for ordering and receptions, ensure all data has been authorized properly 
  • To ensure that receptions are done immediately both in Lox7 and excel based order overviews immediately after goods are received 
  • To report any anomalies in the database to the supervisor immediately
  • To update the Projects /Capital Order Overview regularly 
  • To discuss progress with the supervisor on a daily basis, reporting to the rest of the supply team at the weekly team meeting 
  • To report the performance of mission supply chain, the theoretical stock inventory, expiry date overview, monthly stock overview and transit stock reports of all locations regularly 
  • To report immediately to the supervisor of any discrepancy found in data system 
  • To perform additional duties as per the request of immediate supervisor
Requirements: 
  • Qualification either in administration, data entry or in statistics 
  • Minimum 2 to 3 years work experience in data entry/analysis, preferably in the logistics sector and with Logistics7 database, interest in logistics related issues 
  • Ability to organize & prioritize workloads independently, being proactive and using initiative when appropriate, maintain standards in difficult environments, sometimes with limited resources and support 
  • Strong professional ethics, in particular emphasis upon maintaining confidentiality of data records and results 
  • Good command of English (both spoken and written) and local language 
  • Competent computer skills in Microsoft Office, Word and Excel 
  • Ability to act as part of multi-cultural and multi-disciplinary team 
  • Previous experience in a similar role with other organizations desirable

MSF Holland - Logistics Supply Assistant Job in Lokichogio, Kenya

 The offices of MSF - Holland in Lokichogio, Kenya would like to invite applications from individuals wishing to work in the following position:

Position: Logistics Supply Assistant 

Location: Lokichogio, Kenya 

Start: May / June 2012

Overall Objectives:

Responsible for assisting and supporting the Supply Logistician in the efficient operation of supply chain in the mission (purchase and order management, stock management, freight management) and for the supply administration of the logistical supply.

Specific Responsibilities:
  • To ensure MSF-Holland supply procedure is applied and observed throughout the process 
  • Order management – to receive, check and process order requests using standard MSF tools and systems; report project order overview on a monthly basis 
  • Purchase management – to prepare a purchase list and order; follow-up of local and Nairobi Supply Centre purchases; to update the local suppliers list and undertake review of pricing data and price comparisons; to negotiate and communicate with suppliers and communicate with local and Nairobi Supply Centre for status of purchase orders, claims and/or complaints 
  • Freight management – to communicate with suppliers regarding status of cargos and inform storekeepers; communicate with projects to set the priority of project cargos and organize dispatching cargo to the projects; submit and follow up on requests for tax exemption and communicate with the customs clearing agents 
  • Supply administration – to assemble, update and maintain accurate data on supply database and file documents and correspondence, analyse the database of standard item, provide local prices of items available on the local market to the field 
  • Other tasks and responsibilities may be temporarily included and delegated by the hierarchical manager depending on needs.
Requirements:
  • Demonstrable supply management experience 
  • Satisfactory level of computer skill in MS word, MS Excel, MS Outlook & Windows base work station
  • Good command of English and relevant local language, both written and spoken 
  • Ability to organize & prioritize workload independently, using initiative when appropriate 
  • Honesty 
  • Attention to details
  • Pro-activeness 
  • Good communication and team management skills 
  • Previous experience in a similar role with another NGO desirable
