Job title: Protocol Assistant

Unit / dept / delegation: Support Services, East Africa Regional Office

Reports to: Senior Travel Officer

Grade: 4

Purpose: To process travel documents, visas permits and provide admin assistant services to the department under the overall supervision of the senior travel Officer.

Key responsibilities
  • Apply for and obtain new or renewed permits and identification cards for international staff and their dependants
  • Obtain notification of arrivals and departures and residency permits for international staff and their families.
  • Collect from the various Embassies, Government Ministries and Departments all such forms and documents that are required for the processing of visas and permits.
  • Process and follow payment for all Federation utilities to the Federation including but electricity, water, telephone, and other office suppliers.
  • Maintain a clear and well arranged photo album (passport photos) of all national and international staff in the regional office.
  • Ensure visas and permits are promptly processed, all details are filled on respective forms and that the necessary forwarding letters are prepared and signed.
  • Work with liason officer in ensuring timely repairs and mantaince of Federation facilities and premises
  • Maintaining proper filing records for all administration Department.
  • Keep an updated (monthly) inventory of all the different services provided by the Unit including numbers of: visas and permits processed, those in-process, complaints received, tickets issued, hotel reservations made, etc and prepare monthly reports accordingly.
  • Any other assignments in Administration.

Person Specification

Education
  • Diploma in Business administration, Public Relations and Customer Care, Office administration, or any relevant field
Experience
  • 3 years or more experience in handling immigration and protocol related matters
Skills and Knowledge
  • Proficiency in the usage of computers and office software packages (MS Word, Excel, etc)
  • Basic knowledge in finance
Language
  • Fluency in both spoken and written English and Kiswahili.

Purpose: To provide administrative assistance to the department under the overall supervision of the Administration Manager.

Key responsibilities
  • Receive and file incoming letters, documents.
  • Maintain office efficiency, plan and implement office systems in stationary supply and management.
  • Create, control and monitor all stationary requirements of other departments.
  • Record, monitor expenses and raise monthly invoices.
  • Maintain stationary supplies and coordinate deliveries.
  • Add new material records, and create new records as necessary. Assign and record or stamp identification numbers or codes in order to index materials for filing. Find and retrieve information from files in response to requests from authorized users.
  • Perform periodic inspections of materials or files to ensure correct placement, legibility and proper condition.
  • Sort or classify information according to guidelines such as content, purpose, user criteria, chronological, alphabetical or numerical order.
  • Modify and improve filling systems, or implement new filing systems.
  • Maintaining proper filing records for all Administration Department.
  • To provide administrative support to the Archieve where needed.
  • To manage and respond to archival enquiries where necessary.
  • To assist with sorting, indexing and cataloguing materials to the archieve.
  • To assist in basic preservation work, such as recording archival documents and files.
  • To work in co-operation with other staff members to ensure that the aims of the Archieve Centre are achieved.
  • Track materials removed from the Archieve in order to ensure that borrowed files are returned.

Our Client, a leading high-tech security provider in East Africa with its corporate headquarters in Nairobi is looking for a qualified and experienced individual to fill the position of a Supervisor.

The ideal candidate should have strong supervisory skills, a mature personality and be able to manage people.

Key Responsibilities
  • Conduct daily supervision activities for guards and Backups as per schedule prepared on targets set for supervision.
  • Accurately check all guards at post and ensure they have all the necessary equipment and possess uniforms, are groomed and are hygienic.
  • Record and update On Baton the start time of checking areas, and the time taken to complete the first round of checking for every shift.
  • Visits clients and make sure guards are doing their job as per the required quality and also get signature of guard at assignment at the Back up to verify their presence on the daily checking list.
  • Effectively communicate all information from the office to guards and vice versa.
  • Ensure timely reporting of any incident / and complaints received from clients or observed on the grounds and report to the ZM/OCs.
  • Ensuring Batons are used effectively and responsibly during the checking process of each round.
  • Identify number of OB’s that are required at assignments for each Zone and effectively change the old with the new when required.
  • Follow instructions received from ZM for any special checking, informing the guards, creating awareness of issues etc as and when necessary.
  • Issue Pay slips to the guards in time.
  • Ensure all Company resources (Motor Bikes, Batons, mobile phones etc) in possession are used effectively, with minimum wastage, and be accountable for any misuse identified.
Qualifications
  • Diploma in Business Administration and Management.
  • Minimum 2 years experience in a similar role.
  • Have good command of language-both written and verbal.
  • Good ability to professionally interact with various personalities.
  • Must know how to ride a motorbike and have a clean and valid Motorcycle License.
  • Some technical background will be an added advantage.
