Reporting to the Director of Regulatory Affairs and Quality Assurance, the successful candidate will be responsible for the assisting in day to day administrative duties in the Regulatory Affairs Department.

The ideal candidate should have the following qualifications and experience:-
  • Minimum of 5 years working experience with registration of pharmaceutical products in Africa including knowledge of research methodologies and requirements for compilation of dossiers
  • Working knowledge of registration requirements
  • Candidates with an educational background and experience in the technical sciences will have a distinct advantage
  • Diploma in Secretarial Studies / Business Administration is an added but not essential advantage
  • Proficiency in MS - Office application packages is essential

Duties and Accountabilities

Reporting to the Regional Financial Controller (RFC) of the Sub-Saharan Africa Department, the Finance Assistant will perform the following key duties:

SAP/Imprest Administration

Processing and payment of the following in SAP:
  • local staff salaries and benefits
  • consulting contracts, fee invoices 
  • purchase orders 
  • travel advances and other travel related expenses
  • all other payables and miscellaneous payments writing checks and initiating electronic payments
  • Monthly reconciliation of bank accounts;
  • Ensuring that imprest fund and petty cash are adequately funded at all times through regular monitoring and replenishment;
  • Timely recording of office (shared) expenses
  • Where applicable, monitoring and processing refund for VAT and other reimbursable taxes;
  • Monthly review of expenses for accuracy, and ensuring timely corrections/adjustments of erroneous transactions;
  • Consulting and interacting with clients inside and outside IFC to effect timely payments and resolve
  • Accounting related issues;
  • Monitor office supplies inventory and purchases.
Fixed Assets Administration
  • Posting all asset procurements and disposals in conformity with
  • WBG policies and procedures;
  • Ensuring all assets are properly identified, tagged and recorded in SAP;
  • Ensuring all assets are appropriately covered by insurance;
  • Ensuring regular physical inventory is conducted and that all missing items are reported and appropriately resolved.
Travel
  • Reviewing documentation for travel requests and Statements of Expense;
  • Providing guidance to travelers and ensure that World Bank
  • Group travel policies and procedures are followed.
Other Responsibilities
  • Ensuring that all financial records and files (e.g., supporting documents for expenditures, contracts, purchase orders, fixed asset inventory, etc) in the office are well organized, maintained and updated;
  • Acting as the focal person in the office on all World Bank Group policies and procedures relating to SAP, imprest and petty cash;
  • Ensuring that office vehicle usage policies and procedures are adhered to, analyzing the trends in maintenance/fuel costs and advising the Unit Manager as appropriate;
  • Reconciling vouchers on visitors usage of the office. Ensuring that the office is reimbursed for personal calls, copies, vehicle usage and other personal costs;
  • Acts as contact person for internal and external audits of the office on behalf of the RFC
  • Ensures that office vehicle usage policies and procedures are adhered to, analyses the trends in maintenance/fuel costs and advices the Unit Manager as appropriate

Selection Criteria
  • Degree in finance, accounting or related field;
  • At least two years’ relevant work experience in a busy office environment;
  • Proficiency in using advanced functions on standard computer applications (Windows applications: word, excel, Powerpoint etc);
  • Knowledge of and ability to execute diverse and intricate work procedures related to the timely processing and production of assigned outputs and supporting administrative activities;
  • Ability to retrieve reference materials from various sources (e.g., databases or other filing systems, joint library, internet, etc.);
  • Demonstrated use of initiative and ability to make appropriate linkages in work requirements and anticipate next steps;
  • Ability to follow through on team priorities in the absence of the team leader and respond to requests for information;
  • Ability to pass relevant World Bank Group tests as required;
  • Sound organizational skills and ability to prioritize and deliver assignments as required and ability to work under pressure and to meet tight
  • Strong written and oral communications skills, fluency in English is essential

IRC - Medical Officer Job in Dadaab, Kenya

Working under the guidance and supervision of the Clinical Services Manager, the Medical Doctor is directly responsible for the provision of curative services to the beneficiaries in Dadaab Refugee Camps. 
He or she will specifically be responsible for:

Key Responsibilities
Optimal quality of patient care
  • In collaboration with ward nurses, ensure that patients in designated wards receive optimal care through appropriate investigations, management and follow up;
  • Perform emergency and elective surgeries in the hospital theatre
  • Run special clinics as per agreed duty rosters with other medical officers
  • Develop or update relevant clinical protocols for use by nurses and refugee staff in the wards and clinics
  • Ensure implementation of universal precautions and infection prevention techniques in the wards and clinics.
  • Assist in conducting the quality of care assessments
Staff capacity building
  • Assist in the training and mentoring of refugee clinical staff
  • Participate in continuous medical education (CME) sessions to build capacity of all staff and improve quality of healthcare services in the camp
Key Result Areas
  • Improvement in overall patient quality of care
  • Universal precautions and infection prevention techniques are enforced
Required Qualifications:
  • Degree in Medicine and Surgery from a recognized institution
  • Licensed with the Kenya Medical Practitioners and Dentists board
  • Previous experience working in a refugee camp is an added advantage.
  • At least 2 years work experience in a busy set up
  • Ability to work well under minimum supervision
  • Good clinical and surgical skills.
  • Ready to work in hardship areas with basic services available.

Position: Admin / Finance Officer

Position Objectives:
 
The Administrative/Finance Officer will manage the field project administrative issues. 
Ensure, along with the Field Coordinator, Solidarités International’s financial and administrative procedures are in place and applied properly by persons involved in the projects implementation.

Keys responsibilities:
 
Human Resources
  • Ensure the respect of SIrules and regulations for the national staff, being helped on that task by the Human Resources Officer in Coordination Level
  • Manage local recruitments with his/her Field Coordinator
  • Follow up the data base and issue monthly salary payslips to the Coordination for validation
  • Ensure that performance evaluations are conducted regularly and job descriptions are relevant and updated.
Finance
  • Responsible of the accountancy for North Horr program.
  • Organize the sending of field accounting files to Nairobi on a regular basis (maximum every two months).
  • Ensure that accounting files are properly followed up and identified.
  • Check field invoices to ensure Solidarités International’s procedures are followed (BAP, signatures …).
  • Responsible of accounting cashbooks follow up.
  • Along with his/her Field Coordinator, Supervise the financial follow up (expenses, forecast, cash forecast ...).
  • Responsible to ensure that donor’s rules and regulations are respected.
  • Responsible to ensure that cash flow between Nairobi and North Horr, is properly organized, planned and that all payment made by the local transfer companies are duly documented.
Reporting
  • Send on monthly basis and to Nairobi: accountancy, budget follow up and Homere
Management
  • The Administrative/Finance Officer will directly manage domestic staffs. This management will include recruitment, training, regular evaluation, planning and supervision of the work.
Communication
  • Share with the Field coordinator every information about administrative/HR/Financial needs
  • Participate in the monthly general planning of the program
Qualifications
  • A Diploma in Business Administration or other related field
  • Knowledge in MS-Office packages usage
Experience
  • At least 2 year’s experience working in a HR/ Finance section
