Job Summary & Purpose:

Tasks and responsibilities:

R 1: Program development and strategy

Task: Support the proposal development team in the GS&L Sector’s office as and when required on the various tasks such as but not limited to:
  1. Desk research
  2. Organizing and Compiling workshop reports, assessment reports.
  3. Help coordinate and follow up with the team on tasks assigned to meet submission deadlines
  4. Maintain accurate filing system
R 2: Contract Management

Task: Support on contract management including providing safe custody of donor reports
  1. Together with the relevant project and CO staff ensure that donor narrative and financial reports are documented and filed on relevant files for ease of reference and review by the GS&L sector manager.
  2. Together with the relevant project and CO staff ensure that other M&E documents and reports are submitted on time for review by the GS&L Sector Manager
  3. Provide support to GS&L Sector to carry out field visits to monitor and evaluate projects.
  4. Help the Department maintain a monthly time sheet
  5. Assist the GS&L Sector Manager monitor the GS&L projects budgets regularly
R3: Networking and Representation

Task: Maintain a database of donors and partners
  1. Manage appointments and Coordinate the GS&L Sector Manager’s diary for meetings, workshops, conferences, etc,
  2. Dissemination of information generated by the Sector to external and internal audiences, as well as reception of information from within and externally.
  3. Hold brief at meetings and record discussions as assigned by GS&L Sector Manager
R4: Administration

Task: Support Project Managers and other field staff involved in GS&L.
  1. Maintain the office inventory/assets and stationery stores records and ensure that they are secure and properly used as per CARE’s policy.
  2. In liaison with HR, maintain contract renewal schedules, performance appraisal schedules and leave schedules for key staff
  3. In charge of the procurement of goods and services for the GS&L Sector in coordination and consultation with the GS&L Project Managers, administration and procurement office.
  4. Coordinate all logistical support for the GS&L Sector manager’s office and guests for field trips, external travel, working conferences and meetings.
R4. Task: Documentation
  1. Maintain a manual filing system for the GS&L’s office
  2. Maintain an electronic filing system synchronized to the manual system for the GS&L sector’s office

5. Gender Based Violence Partnership Officer, Hagadera

The IRC Gender Based Violence program implements a holistic set of services to respond to the needs of women and girls who have experienced gender-based violence and works with all actors to minimize their vulnerability to ongoing violence.

To meet the needs of the incoming refugee population, the IRC GBV program is implementing an emergency GBV response program in Kambioos Camp.

The emergency program will reflect the overall program strategy of the IRC’s GBV emergency program model, the two key elements of which are advocacy and provision of, and access to, comprehensive GBV response services.

In the longer term, GBV programming will be devolved to a local partner. Initial support will be provided by a Partnership Officer to strengthen their organizational and programmatic capacity on GBV to support the transition of GBV programming in Kambioos over a 18-24 month period.

Reporting to the GBV Program Manager the Partnership Officer will be 100% dedicated to the GBV program to initiate and oversee all interactions and support to the local partner identified to work with in Kambioos.

He/ She will be responsible for the documentation and monitoring all aspects of the partnership as IRC transition services under the GBV program to the local partner.

Duties and Responsibilities

Partnership Process Management
  • Provide management oversight to all capacity assessment processes for the local partner identified, ensuring that a strong baseline for improvement is established.
  • Working in collaboration with GBV Manager to establish detailed capacity building plans for partner to strengthen organizational and technical capacity on GBV.
  • Monitor partners’ progress adapting the plans against targets and indicators that have been decided upon by the IRC and partner organization.
Partner Performance and Accountability Management
  • Work in collaboration with IRC Finance to verify, streamline, deploy and manage appropriate sub-grant agreements and Memorandum of Understanding with GBV program partner.
  • Provide structured corrective support to the partner while evolving capacity building plans to reflect where additional focus is required.
Coordination
  • Drafting of all appropriate partnership forms and contracts in conjunction with the Kenyan country program and input from the GBV Manager
  • Management of all the partnership plans including setting realistic partnership expectations with targets and indicators.
  • Creation of a master partnership plan to guide the transition of GBV programming in Kambioos with detailed timelines.
  • Coordination of all partnership activities and partnership development in line with the approved plan
  • Work closely with IRC GBV staff in Kambioos to ensure activities are complimentary and coordinated
  • Develop and maintain effective working relationships with relevant stakeholders including IRC health and GBV, community leaders and other implementing partners, represent the program in all stakeholders meetings and communicate outcomes with the rest of the program staffs and partner staff.
Training and capacity building
  • Provide ongoing supervision, leadership, training and technical support and guidance on GBV programming to partner ensuring engagement with clients adheres to best-practice principles when working with survivors.

  • Hold regular meetings with partner and IRC GBV staff to discuss issues, problems, accomplishments, and assist in finding solutions to problems identified.
Monitoring and support
  • Ensure continuous monitoring and evaluation so that activities are appropriate and based on a clear understanding of the problems, causes, contributing factors, and issues in individual settings.
  • Monitor the timely submission of accurate financial and activity reporting where appropriate within sub-grantee agreements with IRC.
Reporting and payments
  • Conduct and oversee regular partner monitoring visits to ensure that partners operate in compliance with IRC and donor sub-grantee regulations.
  • Ensure partners provide timely reports
  • Prepare reports, and document lessons learned.
Requirements
  • BA/BSc in Social Work, Psychology, Development, or a related field preferred.
  • At least 3 years experience in direct service provision for survivors of gender-based violence.
  • Previous experience in project management in emergency setting.
  • Thorough understanding of gender-based violence response protocols and service provision.
  • Proven experience supervising GBV social work/case management and outreach staff.
  • Demonstrated leadership, communication, training and facilitation skills.
  • Experience in training, participatory techniques and community mobilization
  • Able to coordinate multiple tasks while maintaining attention to quality and detail.
  • Strong knowledge of computer applications, including MS Word and Excel, GBV IMS Good coordination and networking skills.
  • Excellent interpersonal and problem-solving skills and flexibility
  • Ability to live in a high security environment
  • Fluency in English, including writing clear and concise reports. Knowledge of and fluency in Somali is a requirement
  • Excellent organizational skills, independence, maturity, respect for others, and flexibility

  • Experience working in a refugee setting.
  • Experience working with a local partner on GBV programming

4. Human Resources Intern - Nairobi

Job Purpose / Objective

IRC Kenya is working to achieve optimal performance in terms of program quality strengthening human resources department by emerging tools, systems and retain, develop high quality staff to adhere IRC policies and procedures and donor compliance.

The Human Resource intern is responsible for the overall delivery of quality services to IRC staff members as regards personnel administration, recruitment and employee relations in the IRC Nairobi Program

Key Responsibilities
  • Assist in tracking vaccinations for staff and ensuring payment is made
  • Assist in the recruitment i.e. contacting of candidates, preparation of recruitment files and filing of the recruitment documents
  • Arrange for orientation of new staff including scheduling appointments with heads of departments
  • Make follow ups with successful candidates on reference checks
  • Update the timesheet tracking tool and ensure timely submission of monthly timesheets
  • Assist in timely processing of payments from the HR Office.
  • Assist HR Assistant (Record keeping & arching) maintain an updated filing system in accordance with our HR policies (creating of new files, updating and archiving)
  • Track contract and probation expiry dates and inform the HR Officer
  • Any other duties that may be assigned.
Required Qualifications:
  • At least a Diploma in Human Resource Management
  • Excellent computer skills
  • Good command of English
  • Good organizational skills, flexible and able to prioritize tasks

5. Logistics Intern - Nairobi

Job Purpose / Objective

Reporting to Logistics Manager the key objective of the Logistics Manager is to record and maintain proper records of all IRC assets, to monitor their movement and issuing and assessing their status.

He will also be involved in preparation of shipments to Nairobi and photocopying all logistic/finance documents.

Key Responsibilities

Receive in coming goods/items against:

Assets:
  • To maintain and record all IRC Assets
  • Monitoring the movement of assets in Logistics (Assets returned to IRC)
  • Updating the assets records according to their movements (Issuing, returning or temporal use)
  • Assessing assets status and report accordingly ( Serviceable, damaged or unserviceable)
  • Periodical inventory of the assets
  • To be involved in preparation of shipments to field
  • To photocopy logistics/finance documents
  • Monthly report on the assets
  • Assisting in receiving items in Nairobi
  • To maintain and update assets register
  • To assist in preparation of all logistics reports
Procurement
  • Ensuring that procurement is carried out in accordance to IRC and donor-specific polices.
  • Coordination with Finance, Amin and Programs to ensure integrated internal controls, timely payment of vendors for urban program supplies.
  • Make sure all procured goods and services are delivered in time.
  • Ensuring that a transparent and responsive procurement process is implemented and maintained.
  • Routine communication, coordination and planning with the relevant requesting staff / programs regarding the order and delivery of supplies.
  • Provide on-time, standard monthly reports to direct supervisor and the Logistics Coordinator on Procurement
  • Provide a weekly plan and report to direct supervisor and logistics coordinator
  • Generate and / or maintain comprehensive price list for all different supplies and services used by IRC Programs
  • Circulate the comprehensive updated price list to all Heads of departments every month
  • Produce routine cash / payment projections and commitment details for Finance and Logistics Coordinator.
  • Produce routine purchase status reports and share with all heads of departments
  • Prepare quotations, bid analysis and POs
  • Prepare bid analysis
  • Prepare POs and contracts
  • File procurement documents from PRs until point of close per grant
  • Prepare payment requests to Finance.
  • Update the ProLog procurement model
Key Result Areas

  • Correct and Timely reporting.
Required Qualifications:
  • Degree & or diploma in Purchasing and Supplies from a recognized institution
