Field of intervention

On site management, training and operational follow-up of the project, in collaboration with the local Operations Management and closely in touch with the HQ Informatics System Manager (Informatics System deployment program)

Objectives
  • Organisation and Government
  • Assistance offered to all local committees managed by the Deployment Responsible
Project Management

Before start date:
  • Logistic organisation for all pre-visiting teams, meeting rooms, calendars etc.
  • Organisation of the pre-visiting actions; active contribution to the realisation of impact study; organisation and management of impact study's validity within the Local Management
  • Management and follow-up of all preparing works to be realized on site; documents' classification, documents' transmission towards the Deployment Responsible
  • Contact person for all local Informatics procedures; prepares hardware and software (applications, scanners, printers) for the opening procedures
  • Follow-up of the actions plan started by the Deployment Responsible
Start-date:
  • Management of the implementation procedures for the organisation in "project mode"
Validation:
  • Shadowing of the GO/NO GO for the implementation procedures
Change Management
  • Knowledge capitalisation: management and centralization of all documents
  • Manages all changes that can intervene at the beginning of the project; ensures the good comprehension of all new procedures and/or positions that might occur
  • Guarantees the project's appropriation at all levels:
  1. Financial and Operational Management
  2. Services' Responsible
  3. Final users
  4. Clients
  5. Providers and partners
Follow-up of trainings and workshops for the IT solution

Activity follow-up
  • In charge of communicating all alerts, risks and impacts that nay come from the Operations Managers and/or Project Managers, but also from the key actors involved in the project
  • Reporting of all abnormalities detected
  • Responsible for the quality of all seized data
  • Responsible for all requests: Main contact for all super Users and for the support teams, only in the project mode phase
  • Requests' management: Follow-up and analysis of all demands
Profile
  • University Degree (Commerce or Engineering Institution) or equivalent, gained after a strong professional experience
Knowledge
  • Project Management: Leadership capacity, initiative, ability to motivate the local teams
  • Autonomy and adaptability (change management); open minded
  • Rigor, capacity to analyse in order to manage all the reporting; excellent writing skills
  • Good communication skills, good oral expression; good listener
  • Fluency in English
  • IT skills: Good knowledge of Microsoft Office Package and good comprehension of generic Informatics Systems
Experience
  • 2 to 5 years of experience on outsourcing projects, in an operational environment or in an outsourcing company
  • Good knowledge of Shipping or Logistics field would be a great plus

The main tasks of the OSCAR Trainers will be the following (full-time position, licence agreement):

Project phase (licence agreement acquisition, software initializing, major activity evolution etc.):
  • Formalize all business procedures altogether with the operational managers, taking into account all the main limitations of this kind of context (activity, infrastructures, equipments, partners, local authorities, legal aspects, HR, ...)
  • Main contact between the Informatics System Management and the Local Management for the animation and follow-up of the all initializing procedures for the Informatics Systems and for defining the operational procedures
  • Support the users, such as operational personnel or on site managers, on software changes and during the implementation of all running procedures
  • Alert the HQ Responsible (Informatics System and business) concerning the risks that may occur during the project
  • Measure and report the follow-up of all implementation action local plans altogether with the central and regional teams
Implementation phase
  • Main contact between the Informatics System Management and the Central and Local Ports Management in order to ensure the follow-up of KPIs, of the process and of the Informatics System usage
  • Assist the operational managers during the changes’ implementation (Impact study, procedures update, systems’ configuration, user trainings). Drafting and follow-up of all functional change demands
  • Local warrant of Informatics System’s performance usage. Update and optimize the Informatics System
Profile

Education
  • University Degree or equivalent (in experience)
Experience
  • 2 to 5 years in Logistics, in an operational environment or inside an outsourcing company
Mandatory knowledge: project management, writing of functional specifications, analysis and standardization of procedures, writing of procedures, good comprehension of Informatics Systems, Fluent in English

Soft skills: autonomy, good writing skills, open-minded, pragmatic thinking, rigorous, listening skills, good communication skills, facilitator.
