Mercy Corps Public Relations and Branding - Consulting Services

Mercy Corps is the implementing partner of the USAID funded Yes Youth Can / National (YYC/N) program.

Yes Youth Can (YYC) is a nationwide program designed to empower Kenyan youth to improve their lives and communities.

They achieve a greater voice in national policy making and create new livelihood opportunities.

Yes Youth Can! is USAID’s largest youth-empowerment program in the world.

The core of the program is that it is:
  • Youth-led: Youth ideas, local knowledge and innovations drive the process.
  • Youth-managed: Youth implement program elements (grants, investments, Youth Bunges, research) while leveraging mentoring and coaching.
  • Youth-owned: Youth are in control of all decisions within the institutional structures as a result of fair democratic elections, using a bottom up, localized demand approach.
Mercy Corps is seeking consulting services for Public Relations and Branding services for the YYC/N program.

The consulting firm will work with a designated in-house team to design materials, rollout the launch, and implement the communications strategy for Yes Youth Can.

Specifically the firm will undertake the following tasks:

a) Branding Strategy

Work with Yes Youth Can National leadership team to quickly and thoroughly develop brand strategy that integrates directly into the broader communications strategy

b) Brand Development

Develop an actual brand including logos and accompanying materials

c) Media Engagement

Stemming from the communications strategy, lead the development of the media engagement strategy and work with Yes Youth Can National leadership to rollout large-scale national, regional, and localized media campaign through various channels including but not limited to: television, radio, newspapers, magazines, and social media

d) Promotional Materials

Design effective promotional materials like advertisements, headings, slogans in Kiswahili and local languages, press release template, Yes Youth Can brochure, Yes Youth Can five minute video, banners, brochures, caps, t-shirts, etc. The firm must have or work with a creative designer to meet the expectations of the envisioned materials

e) Pre-Launch Event documentary

The PR firm will produce a 10-12 minutes documentary on selected topics and personalities from the project to mark the event. The documentary should be run on the selected TV channels between two to three days before the Launch Event. Yes Youth Can will meet the cost of airing the documentary

f) Newspaper Supplement

The consultant in collaboration with Yes Youth Can National will assist in the preparation and publishing of a full color two page newspaper supplement to be carried in the Daily Nation two to three days before the Launch Event. Yes Youth Can National will meet the cost of the supplement.

g) Radio or Television show

The consultant will organize for a pre-Launch Event launch radio or morning TV interview with selected key stakeholders before the main launch to highlight the road towards this great achievement.

h) Launch Event

Organize and implement a Yes Youth Can National medium to large scale launch event the end of the week of 15 December 2011

i) Media Coverage of the Launch Event

The consultant shall provide media services for the launch event described in section e above.

The following outputs will be expected:
  • Coverage of the event in at least two leading newspaper, television and radio station
  • Provision of a 30 minute video footage of the event
  • Mobilization of at least one foreign channel to cover the event i.e. BBC, MSNBC, Reuters, Radio France International (RFI), or equivalent channel approved by Yes Youth Can
j) Post-Launch Event Coverage

The PR firm will undertake to publish a feature or a commentary or a news report in a pertinent newspaper platform bordering on Yes Youth Can, its innovations, non-political attributes, Government of Kenya linkages, and methodology.

Also organize a press conference that will give Yes Youth Can an opportunity to release critical information.

Knowledge and experience of the consultingt firm:
  • Evidence of being able to engage key stakeholders and other partners
  • Show examples of other public relations campaigns for innovative programs
  • Show media clippings and ratings for events organized in 2010/2011
  • Show examples of press kits that have been prepared before for other successful events
  • Show evidence of excellent communication skills
  • Show evidence of other promotional materials that have been developed for such events and level of creativity
  • Show evidence of decor, branding of venues, layouts, presentation, logistics, and creativity
  • Show evidence of being able to coordinate multiple activities
  • The quotation should be inclusive of all the above listed components broken out individually

Accountant and Parts Manager

Accountant

Reporting to: Service director

Job Purpose

General accounting including to prepare journal entries, to maintain balance sheet schedules and ledgers and account and bank reconciliations, to assist with monthly closings and account analysis and supporting calculation of relevant taxes.

To prepare monthly management reports, payroll, to manage debtors, to ensure statutory compliance and accountability.

Duties and Responsibilities
  • Responsible for the day-to-day running of the accounts office;
  • Keeps records of all transactions, and are usually responsible for the preparation of accounts payable, invoices and purchase orders, and petty cash and payroll calculation;
  • Prepares tax computations and returns each month;
  • Coordinates the procurement process;
  • Liaises with the external auditors in the company’s annual audit;
  • Prepares timely and accurate financial information by reconciling the general ledger and audits Accounts Payable documents;
  • Responsible for managing cash flow, preparing bank reconciliations and reconciling revenues on a monthly basis;
  • Ensures internal control systems are functioning and relevant internal control procedures are updated in line with company policies;
  • Invoicing of clients and ensuring all sales and income items are promptly captured;
  • Posting and updating the accounting system;
  • Preparation of VAT and withholding tax returns a s per laid down guidelines;
  • Suppliers and payment processing;
  • Maintaining files for payments and accounting correspondences;
  • Maintaining a physical cheque register ad ensure cheques payments are dispatched in time, and properly recorded;
  • Handles clients’ queries relating to accounts balances and payments.

Qualifications and Competencies

Education
  • University level - Bachelors of Commerce or Business Administration and or CPA (K).
Work Experience: At least 3 years Post experience in a busy accounting department in a Commercial Company; Computer skills particularly on different types of spreadsheets and various automated accounting systems

Parts Manager

Reporting to: Service Director

Job Purpose:

The overall purpose is planning, organizing and controlling of Parts Order Management for both purchase and sales; the jobholder will be responsible for organizing activities and managing stock control, receipt, storage, retrieval and ensure timely delivery of warehouse stock.

The Parts Manager will ensure productivity targets are met and maintain computerized administration and automated storage and retrieval systems.

Duties and Responsibilities
  • Responsible for the management of Parts Order, in line with Organization policies.
  • Develops and maintains effective Parts Department processes to ensure internal and external customer satisfaction.
  • Creates annual Parts Department goals and budget, in alignment with the organization’s financial and operational objectives and effective Inventory Management.
  • Develops and executes Parts Department marketing plan and monitors monthly to ensure achievement of departmental goals.
  • Conducts a perpetual/annual physical inventory of all parts and related inventories.
  • Ensure that accurate and complete accounting, reporting and internal control systems are functioning and that all relevant records are properly maintained.
  • Ensure that standard systems are properly maintained at warehouses.
  • Assist in the training of any counterparts in parts order management best practice.
  • Assess the availability of space and prepare stacking/storage plans prior to programming/contingency commodities arrivals.
  • Supervise the receipt of all arriving consignments.
  • Monitor the quantity and quality of commodity (ies) stored.
  • Prepare all procedures and necessary steps for commodity disposal;
  • Produce regular stocks reports and daily stocks positions;
  • Prepare loading plans and ensure that standard waybills are duly complete.
  • Scheduling employees, truck drivers, arranging drop offs and deliveries and scheduling loading dock use of mechanized equipment such as forklifts.
  • Ensuing that all appropriate safety regulations are being followed both with regards to personal safety and safety of inventory.
  • Checking and verifying shipping records, handling questions or concerns of shipping shortages or overages and addressing any problems with inventory control.
  • Perform other related duties as required.
Qualifications and Competencies

Education:
  • University level. Business Administration, Management, Transport, Engineering or related field is preferable. Can be waived in lieu of proven experience in warehouse management and familiarity with logistics accounting procedures.
Work Experience:
  • Five years of professional work experience in logistics management at the national level.
Competencies:
  • Proven analytical and warehouse management skills.
  • Excellent mathematical skills and attention to detail.
  • Ability to implement training.
  • Ability to manage large groups of people.
  • Computer skills, including internet navigation, and various office applications.
  • Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization.
