Habitat for Humanity Kenya - Senior Accountant Job in Kenya

Habitat for Humanity Kenya, a Christian Non-Governmental Organization with a mission of eliminating poor housing and homelessness, wishes to recruit the following position to support its growth and expansion.

Position: Senior Accountant

Purpose of Position

The purpose of this position is to offer accounting services to the organization and ensuring that all financial resources that come into the organization are recorded, tracked, and accounted for and used in fulfillment of the core mission of the organization of building and renovating houses that ensure families live in decent houses and decent communities.

The position also deputizes the Finance Manager’s position.

Key areas of responsibilities:
  • Manage the accounting functions: Assist the Finance Manager in the development, documentation, implementation, and monitoring of National Office’s financial transactions to ensure that transactions are recorded on an accurate and timely basis and financial reports are provided to stakeholders.
  • Implementation of Internal Controls: Ensure the implementation of all internal control processes in all disbursements and transactions.
  • Produce financial and statistical information: Oversee the production and storage of financial data and reports for the organization.
  • Budget Preparation: Participate in the development of the annual budget and ensure that the National Office office is spending according to budget through preparation of monthly budget versus expenditure analysis.
  • Payroll Administration- Assist the Finance Manager in preparation of the payroll and ensuring that all statutory deductions are remitted to government in a timely and consistent manner.
  • Loan Tracking System and Sun-system reconciliations: - Supervise and ensure the integrity of the data entered into both the Sun-system and Loan Tracking System.
  • Supervise and provide support to Finance Officers both in the National Office and the field and ensure the following duties are carried out:-
  • Ensure all bank and petty cash accounts are accurately and timely maintained.
  • Secure and prepare required supporting documentation for expenditure and Journal batches.
  • Reconcile fund transfers each month.
  • Oversee the disbursement process, ensuring required authorization and documentation.
  • Posting of all vouchers in Sun Systems.
  • Conduct the month-end and quarterly end close process, including consolidation of project accounts, reconciliations, revaluation and preparation of financial statements.
  • Advise and implement financial policies while promoting fraud awareness in all activities.
  • Assist in the preparations for the year end audit including providing all necessary documents.
Experience & Education & Skill Requirements:
  • University Degree in Commerce, Finance, Business Administration.
  • In-depth understanding and proficiency in the use of accounting systems, particularly Bankers Realm and SUN Systems.
  • Ability to train and support field Finance and Programme staff in accounting matters
  • Good communication skills, both written and verbal Kiswahili and English
  • Professional accounting qualification to Certified Public Accountant Kenya or ACCA
  • 3-5 years of working experience in a busy accounting environment preferably in a microfinance institution or other financial services sector.

Overall Responsibility

Ensure that information systems offer the highest level of reliability and accuracy while ensuring that data integrity and security is guaranteed.

In addition, offering high level of efficient service in terms of data entry, processing and retrieval.

Job Summary

The Information Technology Officer will be in charge of all information systems of HFH Kenya.

She/he will be responsible for all aspects of information systems, technology, information technology planning and direction, systems security and database, oversee the implementation of an integrated information services system for the head office and branch network.

Duties and Responsibilities
  • To maintain and support all the existing computer installations and software and recommend and oversee continuous upgrade of the systems.
  • To plan, oversee and co-ordinate the development, installation and support of computing and network support services for the office and branch network.
  • To oversee and/or participate in the design, development, implementation and evaluation of end user services and integrated information initiatives.
  • To co-ordinate and provide leadership for new system development and implementation and current system enhancements and improvement and to review, evaluate and develop proposals for new hardware/software and/or upgrades as appropriate.
  • To plan and co-ordinate the analysis design, programming, timely implementation, and testing of all information systems projects.
  • To oversee the supervision of personnel, which includes work allocation, training and development and problem resolution, and to evaluate performance and make recommendation for personnel actions; to motivate employees to achieve peak productivity and performance.
  • To participate in development, implementation, and maintenance of policies, objectives, short and long-range planning, to develop tracking and evaluation programs to assist in accomplishment of established goals.
  • To provide on-call support for computer/network systems.
  • To develop and co-ordinate programs and initiatives to ensure quality of performance and currency of skills among staff within the organization.
  • To maintain a broad knowledge of state of the art technology, equipment, and/or systems to provide regular updates and reports to the management.
  • To perform any other duties as assigned by the Supervisor.
Qualifications and skills
  • Bachelor’s Degree in IT.
  • Microsoft qualifications will be an added advantage.
  • Hands on experience in computerized packages particularly SUN and Bankers Realm.
  • 2-3 years’ experience in a financial services industry.

Purpose of the Position

The Assistant ICTO shall be responsible for Portfolio Management and maintenance of the loan tracking system in addition to providing interpretational models to all decisions, systems designs and data processing.

Specific Duties
  • Input debtors’ data into HFHKenya information systems and keep a record on all individual debtors.
  • Ensure data integrity is maintained on all information captured and stored in HFHKenya Management Information Systems, by carrying out system scans and system backups.
  • Review and give final recommendation on loan applications recommended by the field officers using the loan tracking system.
  • Act as a control mechanism and ensure checks and balances on all management information in the system of HFHK.

  • 2 years’ experience in Microfinance environment,
  • Working knowledge of SQL.

Position: Field Officer

Reports to: Senior Field Officer

Posted: Regional Office

Purpose of the Position

Field Officer is a member of the regional team and is responsible for Programme promotion, recruitment of members, group formation, training, loan disbursement and loan repayment, overseeing of financial transactions in groups and financial reporting to Regional at Office level.

He/she maintains all group cash records and assists in credit functions and activities in the region.

Key Responsibilities:
  • Promotion of Housing Product,
  • Appraisal and Recruitment of Members
  • Formation of Groups and training of members in group dynamics and record keeping
  • Review and maintain group records
  • Attend and participate in all group meetings as HFHK representative.
  • Prepare and submit portfolio summary reports to the Senior Field Officer.
  • Maintain profile files for all members.
  • Facilitate full loan application process for members.
  • Recommend loan applications for approval.
  • Disburse all loans to the members during group meetings.
  • Recover all the disbursed loans.
  • Maintain acceptable loan repayment rate.
  • Any other duties as requested and assigned by the supervisors.
Qualification Requirements
  • University degree in business, construction, social studies, or development studies
  • Familiarity with principles and practice of microfinance.
  • Proven self-initiative and problem solving abilities.
  • Commitment to team work and ability to perform under pressure while maintaining a sense of humour.
  • Fluency in spoken and written English and Kiswahili.
  • Competent in Microsoft PowerPoint, Word and Excel.
  • Strong training and analytical skills.
  • Willing to work in rural areas and on weekend and odd hours.
  • Excellent verbal and written communication skills.
  • Capacity and willingness to learn new skills quickly and work with rural communities.
  • One to two years of relevant work experience or documented participation in leadership at the university or in community development projects
